LARCfest Exhibitor Space Reservation – Exhibitor Terms & Conditions 

Event date: April 5th 2025

The term “Exhibitor” represents individuals, partnerships and corporations. Exhibitor releases the Longmont Amateur Radio Club (LARC), from all claims arising from Exhibitor show occupancy, including but not limited to: loss, theft, damage, destruction or injury to Exhibitor business or personnel. Exhibitor releases LARC from all claims arising out of failure to provide space, removal of exhibit, or failure to hold the show.

Please remember that this is a family-oriented event. LARC retains the right to reject, eject or prohibit any product or exhibit in whole or in part or to reject an Exhibitor or his/her representative(s) with or without giving cause. If cause is not given, LARC’s liability shall not exceed the return to the Exhibitor the amount of the table/space fee prorated at the time of ejection.

Exhibitors may not sell raffle tickets unless approved by LARC. Exhibitors may not offer any games of chance.

Exhibitors may not place anything in the aisles that impedes traffic in the aisles. 

If AC power is needed, Exhibitors must provide his/her own extension cord(s).

Cancellations: 

Cancellations received more than 14 days in advance of LARCfest will receive a full refund.

Cancellations less than 14 days prior to LARCfest will not receive a refund.

No-charge exhibit space: 

For certain items which are attractions for the public, the LARC may provide “no‐charge” exhibit space. These attractions may include workshops, display, and nonprofit organization promotion tables. To receive no-charge exhibit space, a non-profit application must be submitted. All Exhibitors will be charged the stated rates unless a separate no charge contract has been completed and agreed to by LARC. 

Exhibit building Setup Hours for Vendors: Friday 4:00 pm – 7:00 pm and Saturday 7:45 am – 9:00 am

Public Show Hours: Saturday 9:00 am – 1:00 pm

Payment is required with reservation and must be received by March 31, 2025.  Reservation confirmation will be e-mailed, and exhibitor admission tickets will be delivered at the door.
